Harassment Policy

Applies to all events produced by Texas Card Show and More LLC, including NTX Card Shows, ATX Card Shows, HTX Card Shows, NTX Comic Shows, NTX Toy Shows, NTX Universe, and OK Collects. Last updated September 3, 2026.

To report harassment, email hello@txcardshows.com with "URGENT" in the subject line. During show hours you can also go to the box office or find any staff member in a TX Card Shows shirt or badge. You do not have to be certain, you do not have to have proof, and you do not have to have been the person harassed. If something felt wrong, tell us.

Who this covers

Everyone. Attendees, VIP ticket holders, children and their parents, vendors, exhibitors, artists, dealers, breakers, celebrity and creator guests and their handlers, sponsors, press, photographers, contractors, security, venue staff, volunteers, and our own staff and ownership. There is no group at our events that is exempt from this policy, and no one whose importance to the show puts them above it.

It applies on the show floor, in autograph and panel areas, in line queues, in restrooms, in parking lots and loading areas, at host hotels, at official afterparties and trade nights, and in our online spaces including our social media accounts, event pages, and Discord.

What harassment means here

Harassment is any behavior that a reasonable person would find intimidating, hostile, degrading, humiliating, or offensive, and any behavior that interferes with someone's ability to enjoy or work at our event. It does not have to be illegal for us to act on it, and it does not have to be repeated.

Examples include, and are not limited to:

• Offensive or unwelcome comments about race, color, national origin, ethnicity, immigration status, religion, age, disability, physical appearance, body size, gender, gender identity or expression, sexual orientation, marital status, veteran status, or pregnancy.

• Slurs, epithets, and "jokes" that trade on any of the above.

• Deliberate misgendering, or repeatedly using a name a person has told you not to use.

• Unwelcome sexual attention, sexual comments about a person's body or cosplay, sexual images or props displayed outside a clearly marked adult area, and requests for sexual favors.

• Unwelcome physical contact of any kind, including hugging, touching a person's hair, costume, wig, or props, and blocking someone's path.

• Photography or video of a person who has said no, photography up or down a costume, and photography of anyone in a restroom or changing area.

• Following someone around the venue, waiting for them outside a room or restroom, or repeatedly approaching someone who has disengaged.

• Refusing to leave someone alone after being asked to stop, whether or not you think the request was fair.

• Threats or intimidation, including implied threats and threats made about someone rather than to them.

• Sustained disruption of panels, signings, contests, or a vendor's ability to do business.

• Displaying hate symbols or imagery associated with hate groups. Costumes depicting historical or fictional villains are handled case by case, and staff decisions about them are final.

• Recruiting for, promoting, or distributing material for hate groups or extremist organizations.

• Bullying, doxxing, or coordinated pile-ons targeting an attendee, vendor, guest, or staff member in our online spaces.

• Encouraging or assisting any of the above.

This list exists to be useful, not to be complete. Behavior that is not on this list can still be harassment, and we will treat it that way.

Cosplay is not consent, and neither is anything else

A costume is not an invitation to touch, photograph, comment on, or approach anyone. Neither is a jersey, a graphic tee, a sneaker, or a slab in someone's hand. This policy protects every person at our events, in costume or not, and applies to attendees, vendors, and staff equally.

What is not harassment

Being asked by staff to stop a behavior is not harassment. Neither is a reasonable business disagreement, a declined trade, a refused price, or someone simply not wanting to talk to you. Reporting harassment in good faith is never harassment, even if we ultimately find that no policy was broken.

How to report

Any time, year round

Email hello@txcardshows.com. Put "URGENT" in the subject line if the incident is happening now or the person involved is still at the event. This inbox is monitored year round, not only during show weekends, and it is checked continuously while a show is running.

During a show

• Go to the box office or front admissions desk. It is staffed the entire time the doors are open and it is the fastest route to a manager.

• Find any staff member. Our people wear TX Card Shows shirts or staff badges.

• Email the address above from your phone if you would rather not be seen talking to staff, or if you cannot safely get to the front of the room. Say where you are and we will come to you.

• Ask a vendor or a nearby attendee to get staff for you. Nobody will think it is a bother.

If you have a mobility need, a sensory need, or any other reason that reaching the front of the room is difficult, use the email and tell us where you are. Coming to you is our job, not yours.

If you are in immediate danger

Call 911 or ask venue security, then tell us as soon as you are able. You are never required to involve law enforcement in order for us to act. Most incidents we handle never involve police, and we will not pressure you toward a police report you do not want to make.

If the person harassing you is one of ours

Staff, vendors, celebrity guests, artists, security, and venue employees are covered by this policy exactly like everyone else, and we know that reporting them feels different. Here is what to do.

• If it is a staff member, volunteer, vendor, or guest: email hello@txcardshows.com and write "CONFIDENTIAL" in the subject line. Messages flagged that way go directly to ownership. The person you are reporting will not be told who reported them, and will not be given your report.

• If it is a member of ownership, or you do not trust that the email will be handled fairly: ask for the venue's own security or guest services office, which operates independently of us. At the Kay Bailey Hutchison Convention Center and at our other venues, building security can remove a person from the property regardless of their role at our event. You may also contact the venue's management directly after the show.

• If it is venue or contracted security: report it to our staff at the box office and by email. We contract those services and we can escalate to their supervisor and to the building on the spot.

You are welcome to bring a friend with you when you make a report, to submit a report on someone else's behalf, or to ask that a specific staff member not be involved in handling it. We will honor that.

What happens after you report

• We will listen and take you seriously. We will not ask what you were wearing, whether you had been drinking, or why you were there.

• We will ask what you want to happen. Sometimes that is a separation, an escort to your car, or a badge check. Sometimes it is a full investigation. We will tell you honestly what we can and cannot do.

• We will act on the same day when the incident is happening at a live event. We do not table things until Monday.

• We will keep your identity confidential to the extent we can while still acting on the report, and we will tell you in advance if acting on it would make you identifiable.

• We will follow up with you after the show to tell you what came of it.

Retaliation against anyone who reports harassment, or who participates in looking into a report, is itself a violation of this policy and is treated as seriously as the original incident. That includes retaliation by vendors against attendees and by staff against either.

Consequences

Staff may take any of the following steps, in any order, and are not required to give a warning first. What we choose depends on the severity of the behavior, not on how much money the person has spent with us.

• A verbal warning and a direction to stop.

• A required separation, meaning the person is kept away from a specific person, table, or area for the rest of the event.

• Confiscation of a badge or wristband, with no refund.

• Removal of a costume element, prop, sign, or piece of merchandise.

• Removal from the event for the day, with no refund.

• Removal from the venue and the property for the remainder of the weekend, with no refund.

• For vendors and exhibitors, immediate closure of the booth or table, forfeiture of all fees paid, and removal from our vendor list.

• For guests and artists, cancellation of the remainder of the appearance.

• For staff and volunteers, removal from the event and termination.

• A ban from all future events produced by Texas Card Show and More LLC across every series and every city, permanently or for a set period.

• A report to law enforcement, when the conduct is criminal or when the person harmed asks us to make one.

We may also share information about a banned person with venues and with other event organizers where we believe there is a safety reason to do so.

A note on our part

We produce a lot of shows and we are not going to pretend we get everything right. If you reported something to us and it was handled badly, we want to hear that too. Email hello@txcardshows.com and say so plainly. It is the only way the next show gets better.

This policy is available on our website year round and applies to every event we produce. It may be updated, and the current version is always the one posted here.
